Safety Measures for your Liveforce Account

Simple Steps To Help Keep Your Liveforce Admin Account And Workforce Data Secure

Your Liveforce Admin account gives you access to important information about your business, jobs and workforce. Taking a few simple precautions can help protect your account and prevent unauthorised access.

Here are some simple ways to keep your Liveforce account secure.

Turn on Two-Factor Authentication

Two-Factor Authentication (2FA) adds an extra layer of security to your Admin account.

When 2FA is enabled, Admins need to enter their password and a one-time verification code when logging in. This means that even if someone obtains your password, they will still need the additional code to access your account.

How to enable 2FA

An Admin Owner can enable 2FA for the whole account:

SETTINGS → APP SETTINGS → Settings → Two-factor Authentication

Once enabled, 2FA applies to all Admins registered on your account. Admins currently logged in will be logged out and will need to authenticate using 2FA the next time they log in.

The verification code is sent to the Admin's email address and is valid for 15 minutes. We recommend keeping 2FA switched on for your account.

Give Admins the right level of access

Not every Admin needs access to everything.

Liveforce provides three Admin permission levels:

  • Owner – Full access to the platform
  • Manager – Broad access, with some restrictions
  • Staff – More limited access

Owners can also customise permissions for Managers and Staff, including access to workforce contact information, exports and payment reports.

Our recommendation

Give each Admin only the access they need to do their job.

For example, if someone only needs to help manage your workforce, they may not need access to payment reports or the ability to export crew contact information.

You can review Admin access under:

PLATFORM SETTINGS → APP SETTINGS → Admins

From here, Owners can manage existing Admins, change permission levels and adjust their access.

Remove access when someone leaves your organisation

When an employee or contractor no longer needs access to Liveforce, make sure their Admin account is removed.

Owners can manage and delete Admin accounts from the Admins section of App Settings.

This helps ensure that former team members cannot continue accessing your Jobs, Workforce or other account information.

Tip: Make reviewing your Admin list part of your employee offboarding process.

Use a strong, unique password

Your password is your first line of defence.

We recommend:

  • Using a strong, unique password for your Liveforce account.
  • Avoiding passwords that are easy to guess, such as company names or common words.
  • Never sharing your password with another Admin.
  • Using a password manager to securely store your passwords. Tools such as LastPass and Google Password Manager can help you create and securely store strong, unique passwords, so you don't have to remember them all.

Each Admin should have their own Liveforce account rather than sharing login details.

If you believe someone else may have accessed your account, change your password and contact Liveforce Support.

Keep your email account secure

Your Liveforce login and 2FA verification are linked to your registered email address, so keeping your email account secure is important too.

We recommend enabling MFA/2FA on your company email account where available.

Be particularly cautious of emails asking you to:

  • Confirm your Liveforce password.
  • Share login details.
  • Make an unexpected payment.
  • Click a suspicious link.
  • Provide sensitive workforce information.

When in doubt, don't click the link. Navigate to Liveforce using your usual login method instead.

Be careful when sharing workforce information

The Liveforce Admin App contains personal information about your Crew, including contact details and documents.

Think carefully before exporting, downloading or sharing workforce information.

Liveforce allows Owners to restrict certain Admin access to Crew contact information and exports, helping you control who can access this data.

Only share Crew information with people who need it for legitimate business purposes.

Keep your devices secure

Your Liveforce Admin account can be accessed through a web browser on a laptop, tablet or mobile device.

To help protect your account:

  • Keep your operating system and browser up to date.
  • Use a screen lock on your computer and mobile devices.
  • Avoid accessing Liveforce from shared or public computers where possible.
  • Always lock your device when you step away.
  • Don't save your Liveforce password on a shared computer.

If you think your account has been compromised

If you notice anything unusual, such as unexpected changes to your account or activity you don't recognise:

  1. Change your password immediately.
  2. Make sure 2FA is enabled.
  3. Ask an Owner to review your Admin users and permissions.
  4. Contact Liveforce Support if you believe your account has been accessed without authorisation.

Keeping your Liveforce account secure is a shared responsibility. Admins should also remind Crew of a few simple security practices when using the Liveforce Crew App.

Encourage Crew to:

  • Keep their login details private – Crew should never share their Liveforce password with anyone else.
  • Use a strong, unique password – They should avoid using the same password across multiple accounts.
  • Keep their phone secure – Crew should use a screen lock and avoid leaving their device unlocked or unattended.
  • Keep the Crew App updated – Using the latest version helps ensure they have the latest improvements and security updates.
  • Be cautious of suspicious messages – Crew should be wary of emails, texts or messages asking them to provide their Liveforce login details or other personal information.
  • Only access Liveforce through trusted devices – They should avoid logging in on shared or public devices where possible.
  • Report anything suspicious – If a Crew member believes their account has been accessed by someone else or notices unusual activity, they should contact their Admin as soon as possible.

A simple message you can share with your Crew

Keep your Liveforce account safe: Never share your login details, keep your phone protected with a screen lock, and be cautious of unexpected messages asking for your information. If you notice anything unusual with your account, let your Admin know straight away.

Every so often, take a few minutes to check:

  • Is Two-Factor Authentication enabled?
  • Does every Admin have their own account?
  • Does each Admin have the right level of access?
  • Have former employees or Admins been removed?
  • Are your passwords strong and unique?
  • Is MFA enabled on your company email?
  • Are you careful when exporting or sharing Crew information?
  • Are your devices and browsers kept up to date?

A few simple checks can go a long way towards keeping your Liveforce account and workforce data secure.
